In Short: We collect personal information that you provide to us.
We collect personal information that you voluntarily provide to us when you register on the Services, make a payment, participate in activities on the Services, or otherwise when you contact us. We also collect information about members (such as the youth members of a section) that Leaders and Parents enter into the Services.
Information about you (account holders). When you create and use an account, we may collect:
Information about members. Members are the people a section is made up of (most often youth members), and are not necessarily users of the Services. Leaders and Parents may enter the following information about a member:
The Services are intended to be used by people aged 16 and over (Parents, Leaders, Admins, and older youth members). Most members, particularly younger youth members, do not have their own account; their information is entered by Leaders and Parents in order to run the section. By entering information about a member, you confirm that you are authorised to provide it and, where the member is a child, that you are their parent or guardian or are otherwise authorised to provide it.
We process members' information on the basis of our legitimate interests in organising and running the section and meeting our safeguarding responsibilities. The general details field is intended for general information about a member only and should not be used to record medical, health, or other sensitive information.
Sensitive Information. We do not ask for or intentionally collect sensitive (special category) information, such as health, medical, or dietary information. Please do not enter such information into free-text fields like a member's general details.
Payment Data.We do not collect or store your card or payment details. All payments are processed securely by Stripe, and we receive only confirmation and limited transaction details, such as who paid, the member paid for, the amount, and the date. You may find Stripe's privacy notice here: https://stripe.com/ie/privacy.
Social Login Data. We provide you with the option to register and log in using your Google account, through our authentication provider, Auth0. If you choose to register in this way, we will collect certain profile information about you, as described in the section called 'HOW DO WE HANDLE YOUR SOCIAL LOGINS?' below.
Photos and Images. We may take photographs at group activities and events, and these may include members. Where a photograph identifies a child, we only publish it publicly (for example, on our blog or social media) where their parent or guardian has given us consent to do so. We rely on that consent as our legal basis for publishing public photographs of children. You can withdraw your consent at any time, and you can ask us to remove a photograph of your child by contacting us at studunne35@gmail.com.
All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.
In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent.
We process your personal information for a variety of reasons, depending on how you interact with our Services, including:
In Short: We only process your personal information when we believe it is necessary and we have a valid legal reason (i.e. legal basis) to do so under applicable law, like with your consent, to comply with laws, to provide you with services to enter into or fulfil our contractual obligations, to protect your rights, or to fulfil our legitimate business interests.
The General Data Protection Regulation (GDPR) and UK GDPR require us to explain the valid legal bases we rely on in order to process your personal information. As such, we may rely on the following legal bases to process your personal information:
In Short: We may share information in specific situations described in this section and/or with the following third parties.
We may need to share your personal information in the following situations:
In Short: We use only the cookies necessary to operate the Services, mainly to keep you securely logged in. We do not use cookies for analytics or advertising.
We use cookies and similar technologies only where they are necessary to provide the Services — in particular to authenticate you and keep you securely logged in, to support basic site functions, and to maintain the security of your account. We do not use cookies for analytics, advertising, or to track your activity across other websites.
Some of the third-party services we rely on may set their own cookies when you use the Services — for example, Auth0, which provides our login, and Stripe, which processes payments. These cookies are used to deliver those specific services.
Most web browsers let you remove or reject cookies through their settings. Because the cookies we use are essential, rejecting them may prevent parts of the Services, such as logging in, from working.
In Short: If you choose to register or log in to our Services using your Google account, we may have access to certain information about you.
Our Services offer you the ability to register and log in using your Google account, through our authentication provider, Auth0. Where you choose to do this, we will receive certain profile information about you from Google, which typically includes your name, email address, and profile picture.
We will use the information we receive only for the purposes that are described in this Privacy Notice or that are otherwise made clear to you on the relevant Services. Please note that we do not control, and are not responsible for, other uses of your personal information by your third-party social media provider. We recommend that you review their privacy notice to understand how they collect, use, and share your personal information, and how you can set your privacy preferences on their sites and apps.
In Short: We keep your information for as long as necessary to fulfil the purposes outlined in this Privacy Notice unless otherwise required by law.
We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). No purpose in this notice will require us keeping your personal information for longer than six (6) months past the termination of the user's account.
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymise such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.
In Short: We aim to protect your personal information through a system of organisational and technical security measures.
We have implemented appropriate and reasonable technical and organisational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorised third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.
In Short: Our Services are intended for users aged 16 and over. We do not knowingly allow children under 16 to create an account, and we hold information about youth members that is provided by Parents and Leaders.
To create an account and use our Services, you must be at least 16 years old. This means a youth member or young leader aged 16 or 17 may create their own account, for example to post a blog or view upcoming activities. We do not knowingly allow children under 16 to create an account or log in, and we do not collect personal information directly from children under 16. If we learn that someone under 16 has created an account without the consent of their parent or guardian, we will take reasonable steps to delete it.
Separately, we hold information about members, including youth members under 16, which is entered by Parents and Leaders to run the section, as described in 'WHAT INFORMATION DO WE COLLECT?' above. By providing a member's information, you confirm you are authorised to do so and, where the member is a child, that you are their parent or guardian or are otherwise authorised to do so. If you wish to review or remove a member's information, or you believe a child under 16 has created an account, please contact us at studunne35@gmail.com.
In Short: In some regions, such as the European Economic Area (EEA), United Kingdom (UK), and Switzerland, you have rights that allow you greater access to and control over your personal information. You may review, change, or terminate your account at any time, depending on your country, province, or state of residence.
In some regions (like the EEA, UK, and Switzerland), you have certain rights under applicable data protection laws. These may include the right (i) to request access and obtain a copy of your personal information, (ii) to request rectification or erasure; (iii) to restrict the processing of your personal information; (iv) if applicable, to data portability; and (v) not to be subject to automated decision-making. In certain circumstances, you may also have the right to object to the processing of your personal information. You can make such a request by contacting us by using the contact details provided in the section 'HOW CAN YOU CONTACT US ABOUT THIS NOTICE?' below.
We will consider and act upon any request in accordance with applicable data protection laws.
If you believe we are unlawfully processing your personal information, you have the right to complain to the Irish Data Protection Commission, our supervisory authority, at www.dataprotection.ie. If you are located elsewhere in the EEA, you may also complain to your local data protection authority.
Withdrawing your consent: If we are relying on your consent to process your personal information, you have the right to withdraw your consent at any time. You can withdraw your consent at any time by contacting us by using the contact details provided in the section 'HOW CAN YOU CONTACT US ABOUT THIS NOTICE?' below.
However, please note that this will not affect the lawfulness of the processing before its withdrawal nor, will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.
Opting out of marketing and promotional communications:You can unsubscribe from our marketing and promotional communications at any time by or by contacting us using the details provided in the section 'HOW CAN YOU CONTACT US ABOUT THIS NOTICE?' below. You will then be removed from the marketing lists. However, we may still communicate with you — for example, to send you service-related messages that are necessary for the administration and use of your account, to respond to service requests, or for other non-marketing purposes.
If you would at any time like to review or change the information in your account or terminate your account, you can:
Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms and/or comply with applicable legal requirements.
Cookies and similar technologies: Most Web browsers are set to accept cookies by default. If you prefer, you can usually choose to set your browser to remove cookies and to reject cookies. If you choose to remove cookies or reject cookies, this could affect certain features or services of our Services.
If you have questions or comments about your privacy rights, you may email us at studunne35@gmail.com.
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ('DNT') feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognising and implementing DNT signals has been finalised. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.
In Short: We are based in Ireland, and some of our service providers are located outside the European Economic Area (EEA).
We are an Irish organisation and process your personal information in accordance with the EU General Data Protection Regulation (GDPR) and the Irish Data Protection Act 2018.
Some of the people and service providers who help us operate the Services are located outside the EEA, which means your information may be transferred to, stored, or processed in those countries. In particular, the Services are maintained from New Zealand, which the European Commission recognises as providing an adequate level of data protection. Our service providers Auth0 (by Okta) and Stripe may process information in the United States under recognised transfer safeguards, such as the EU-US Data Privacy Framework or Standard Contractual Clauses. Wherever your information is transferred, we take steps to ensure it remains protected in line with this Privacy Notice.
In Short: Yes, we will update this notice as necessary to stay compliant with relevant laws.
We may update this Privacy Notice from time to time. The updated version will be indicated by an updated 'Revised' date at the top of this Privacy Notice. If we make material changes to this Privacy Notice, we may notify you either by prominently posting a notice of such changes or by directly sending you a notification. We encourage you to review this Privacy Notice frequently to be informed of how we are protecting your information.
